Microsoft Copilot training

Microsoft Copilot training helps people use Copilot inside the Microsoft 365 apps they already work in, on tasks they actually do. predeploy builds the course around your licences, your permission model and a handful of real workflows, so learners practise asking for a grounded draft, checking where the answer came from and deciding what still needs a person.

Leave with three practised Copilot workflows, a review checklist for each and a short list of permission or data-hygiene questions for your administrator.

Which Copilot does your team actually have?

Start by confirming the licence, because it changes what Copilot can see and therefore what the course should teach.

Microsoft's own Copilot overview explains that Copilot Chat and the licensed Copilot experience differ by data grounding, integration depth and licensing. With the basic Chat experience, organisational content reaches Copilot when a user uploads a file or works with content open in Outlook or Teams; the premium licence grounds answers automatically in emails, files, meetings and chats through Microsoft Graph. Microsoft's documentation also notes that Microsoft 365 Copilot is now named Microsoft Copilot, so screens and older guides may use either name.

A course written for the wrong licence wastes the session: people either look for features they do not have or never learn to supply the context their version needs. We confirm the licence mix before delivery and split exercises where groups differ. If the wider question is which tools to approve at all, AI readiness assessment comes first.

Licensed users working in Word, Excel, Outlook and Teams are covered in Microsoft 365 Copilot training.

  1. Confirm licences per group

  2. Note which apps people use

  3. Separate Chat from licensed use

  4. Record what each group can see

What should people practise in Word, Outlook, Teams and Excel?

Practise one real task per app, with a known good answer to compare against.

Good exercises are ordinary: summarising a long email thread before replying, drafting a document from an approved brief, turning meeting notes into actions, or asking for a first explanation of a spreadsheet. Each learner brings or receives a task where the right answer is known, so the discussion is about what Copilot got right, what it missed and what it invented.

Teach the instruction as well as the tool. AI prompt training covers purpose, context and output standards in general; here the same habits are applied to Copilot's own surfaces, including pointing it at the specific files that should be used. AI training for employees carries the same checking routine into everyday work outside the session.

How do permissions shape what Copilot shows?

Copilot works inside each user's existing access, so oversharing becomes visible rather than new.

Microsoft's architecture documentation states that Copilot's data access is scoped to the signed-in user's permissions and that it cannot reach content the user cannot access. The practical consequence is that a document shared too widely years ago can now be summarised on request. Training should show people how to recognise that situation and who to tell.

Microsoft's data, privacy and security page also states that prompts, responses and data accessed through Microsoft Graph are not used to train the foundation models, and that interactions are stored in line with the organisation's other Microsoft 365 content. Administrators set retention and review through Microsoft Purview. We teach users the boundaries; configuration stays with your administrator, and AI integration services can help when permissions need rework.

How should a team review Copilot's output?

Check claims against the cited source and decide who signs off before anything leaves the team.

Where Copilot shows references to the content it used, learners practise opening them, confirming that the summary matches them and noticing what was left out. A fluent paragraph with no traceable source should be treated as a draft, not a fact. The review standard differs by task: an internal note can tolerate more than a customer letter or a figure going into a report.

Write the review rule down for each workflow: what must be checked, by whom and against which source. This turns training into a working method, and it gives managers something concrete to ask about later. Where a team wants a wider policy for approved tools and information, our AI policy template sets out the decisions to record.

How do we keep Copilot skills improving after the course?

Measure use on the practised workflows and refresh the exercises when Microsoft changes the product.

Usage figures show engagement, and engagement is not the same as value, so pair them with a simple check on the practised workflows: is the summary still being verified, did the draft save time, are people asking the administrator better questions about access. Revisit the exercises when a feature, licence or name changes.

For a broader rollout, AI training programs for employees provide repeated practice between sessions, and enterprise AI training coordinates several departments sharing the same tenant. predeploy is not a Microsoft partner and this course is not Microsoft certification; it is practical training on your own work. Teams on other assistants can follow the same method with ChatGPT training, Gemini training or Claude AI training.

  1. Track the practised workflows

  2. Keep the review rules

  3. Refresh on product changes

  4. Escalate access questions

Make the decision concrete

What does the current task cost in time?

Choose a task connected to microsoft copilot training and enter its current workload. This gives you a baseline to discuss before buying training or commissioning a build.

A baseline is useful even if you decide to keep the process manual. Measure the work that matters, then compare quality and review effort as well as time.

Assess the workflow before changing it, or plan business AI training if the gap is how people use existing tools.

Your current workload

Estimate how much time the existing task takes before discussing microsoft copilot training.

16 hours per week

People × minutes × weekly tasks ÷ 60. A workload baseline from your inputs, not a prediction of AI time savings. Include review and support time when comparing a proposed workflow.

A useful AI investment leaves your team able to do the work and judge the result.

FAQ

Questions, answered

Copilot 365 training, Copilot AI training and co pilot training are common names for the same programme; licensed users can also see the dedicated Microsoft 365 Copilot training page.

No. predeploy is not a Microsoft partner and does not issue Microsoft certification. Microsoft publishes its own learning material on Microsoft Learn; this course applies Copilot to your workflows, permissions and review standards.

Microsoft states that prompts, responses and data accessed through Microsoft Graph are not used to train the foundation models used by Copilot. Check Microsoft's current data, privacy and security documentation for your licence before relying on it.

Yes, but their exercises differ. Copilot Chat users practise supplying context by uploading approved files or working with open content, because their answers are not grounded in Microsoft Graph automatically.
