AI for email marketing
AI for email marketing is one of the easiest places for a team to start, because drafts, subject lines and variants are quick to produce and easy to compare. The rules around who you may email, and whether the message reaches the inbox, do not change because AI helped write it.
This guide covers drafting, segmentation and testing, then the PECR and UK GDPR consent points and the mailbox-provider deliverability requirements that every send has to meet.
Leave with a drafting and testing workflow, a consent and data checklist, and the deliverability basics to confirm with whoever runs your email platform.
Consent is generally needed for unsolicited marketing email to individuals (including sole traders); the products and services soft opt-in has set conditions; corporate subscribers can be sent unsolicited marketing without consent; identity and opt-out apply to all messages. AI email marketing
how does AI help with drafting emails?
It produces first drafts, subject line options and variants quickly, from a brief and approved facts you supply.
Start from a short brief: audience, purpose, the one action you want, and the approved facts or offer. AI for email marketing works best when it is rewriting known material rather than inventing it.
Ask for several subject lines and preview texts, then shortlist with your own judgement about tone and accuracy.
Keep a reviewer in the loop for claims, prices, dates and links. An assistant can produce a confident sentence about an offer that does not exist.
The broader content approach is covered in our guide to AI for marketing.
Brief with audience, purpose and approved facts.
Generate options, then shortlist by judgement.
Review claims, prices, dates and links.
AI email marketing
can AI help with segmentation and personalisation?
Yes, but only with data you are allowed to use for that purpose, and with the processing documented.
AI features in email platforms and CRMs can suggest segments or tailor content to recipient attributes. That is processing of personal data under UK GDPR.
The ICO's guidance on AI and data protection covers transparency, fairness and accountability, including when an impact assessment is appropriate.
Check whether the vendor's AI feature sends recipient data to a third-party model, and under which terms. Microsoft, for example, documents that Microsoft 365 Copilot does not use prompts or responses to train foundation models; confirm the equivalent for whichever platform you use.
Using AI for email marketing personalisation should also stay within what recipients would reasonably expect from your privacy notice.
AI email marketing
how should we test AI-written emails?
Test one variable at a time against your current version, and judge on agreed metrics over enough sends.
AI makes it easy to produce many variants, which tempts teams to test too much at once. Change one thing, such as the subject line, and keep the rest constant.
Agree beforehand which metric decides the test, and remember that open rates can be affected by mailbox privacy features, so clicks or conversions are often a firmer signal.
Record which variants were AI-drafted and how much editing they needed. Over time that shows where AI for email marketing genuinely saves effort and where it does not.
This is a workflow baseline for your own team, not a promised improvement. If a test involves AI-generated images or claims, the ASA's article on disclosure of AI in advertising is a useful check that the content does not mislead.
| Check | What to establish |
|---|---|
| 1 | Test one variable at a time. |
| 2 | Agree the deciding metric in advance. |
| 3 | Record edit effort alongside results. |

what do PECR and UK GDPR require for marketing emails?
Consent or the soft opt-in for individuals, a clear identity and an easy opt-out in every message.
The ICO's guidance on complying with the PECR electronic mail marketing rules says you generally need consent to send unsolicited marketing email to individuals, including sole traders and some partnerships.
The products and services soft opt-in allows marketing without consent where you collected the details directly during a sale or negotiation, the marketing is about your own similar products and an opt-out was offered at collection and in every message.
The same guidance says unsolicited marketing can be sent to corporate subscribers without consent or a soft opt-in, but every message must still identify the sender and give a valid address to opt out.
None of this changes because AI drafted the email. If anything, AI-generated volume makes list hygiene and suppression more important.
AI email marketing
what deliverability rules apply?
Mailbox providers require authentication, and bulk senders must also meet unsubscribe and spam-rate requirements.
Google's email sender guidelines FAQ says all senders to personal Gmail accounts must pass SPF and DKIM, align the From header, use valid DNS records and send over TLS.
For bulk senders of 5,000 or more messages a day, Google also requires a DMARC record, one-click unsubscribe headers on marketing messages and a user-reported spam rate kept below 0.1%, never reaching 0.3%.
AI for email marketing can raise send volume quickly, so confirm these settings with whoever runs your platform before scaling up.
Relevance is the other half: emails that recipients did not expect drive spam complaints regardless of how well they are written.
Authenticate with SPF, DKIM and DMARC.
Provide one-click unsubscribe for bulk marketing.
Watch spam complaint rates.

how do we build this into team practice?
Agree the drafting workflow, data rules and review step once, then train the team on its own campaigns.
Write down which tools may draft emails, what customer data may go into them and who approves before send. Our AI policy template gives a structure.
Compare the AI features already inside your email platform before buying new tools; our guide to AI marketing tools explains how to evaluate them.
Then train the team to use AI for email marketing on its real campaigns. That is the focus of AI marketing training for teams.

What does the current task cost in time?
Choose a task connected to ai for email marketing and enter its current workload. This gives you a baseline to discuss before buying training or commissioning a build.
A baseline is useful even if you decide to keep the process manual. Measure the work that matters, then compare quality and review effort as well as time.
Assess the workflow before changing it, or plan business AI training if the gap is how people use existing tools.
Your current workload
Estimate how much time the existing task takes before discussing ai for email marketing.
16 hours per week
People × minutes × weekly tasks ÷ 60. A workload baseline from your inputs, not a prediction of AI time savings. Include review and support time when comparing a proposed workflow.
A useful AI investment leaves your team able to do the work and judge the result.
